Introduction

SiteSmart Technology Pty Ltd (referred to in this document as we, us, our or SiteSmart Technology) is committed to protecting users’ privacy.

The Privacy Act 1988 (Cth) (the Privacy Act) and the Australian Privacy Principles (APPs) govern the way in which we must manage your personal information and this policy explains how we collect, use, disclose and otherwise manage personal information/data.

This policy applies across all SiteSmart Technology Pty Ltd products and services, including but not limited to our website, mobile and tablet applications and in the field services. For the purpose of this policy we will call them all ‘services’.

SiteSmart Technology is in part built to create efficient sharing of information between parties. In order to do this we allow Workers, Subcontractors and Projects to share their information and data with each other within the SiteSmart Technology Ecosystem.

Personal data

When we talk about your ‘Personal data’ we mean identifiable information about you, like your name, email, address, telephone number, identity documents, qualifications, payment information, photographs, health and so on. If you can’t be identified (for example, when personal data has been aggregated and anonymised) then this notice doesn’t apply.

We collect and hold personal information about our users for the purposes of providing the products and services being offered.

How we collect your data

When you use our services, we collect personal data in order to provide you with the service. The categories of collection are as follows:

Information You Provide Us Directly

When you use our services we may ask you to provide us personal data. For example when you sign up we collect your name, email, phone number, photograph, licences, qualifications and so on. If you don’t want to provide us with your personal data you don’t have to, however if certain personal data provided is incomplete or inaccurate we may be unable to provide you with the products or services you are seeking.

Information We Collect Automatically

We collect some information about you automatically when you use our services, for example we collect information on your IP address and device type. We also may collect location information in certain circumstances, where relevant to your work product. We also collect information when you navigate through our websites and services, including what pages you looked at and what links you clicked on. This information is useful to us so we can provide you with the best possible experience. Some of this information is collected using cookies and similar tracking technologies.

Information From Third Parties

Most of the information we collect is from you directly. At times, personal information about you may be provided to us by third parties such as Companies you work for and/or Projects you work on.

How we use your data

Your personal data is primarily used inorder to provide you with our suite of products and services.
Other uses may include:

To Communicate With You

  • Providing you with information you’ve requested from us (like training or education materials) or information we are required to send to you
  • Operational communications, like changes to our websites and services, security updates, or assistance with using our websites, products and services
  • Marketing communications about SiteSmart Technology
  • Asking you for feedback or to take part in any research we are conducting (which we may engage a third party to assist with)

To Support You

  • This may include assisting with the resolution of technical support issues or other issues relating to the websites, products or services, whether by email, in-app support or otherwise.

To Enhance Our Websites And Services And Develop New Ones

  • For example, by tracking and monitoring your use of our websites, products and services so we can keep improving, or by carrying out technical analysis of our websites and services so that we can optimise your user experience and provide you with more efficient tools.

To Protect

  • So that we can detect and prevent any fraudulent or malicious activity, and make sure that everyone is using our websites and services fairly and in accordance with our terms of use.

To Market To You

  • In addition to sending you marketing communications, we may also use your personal data to display targeted advertising to you online about our products and services – through our own websites and services or through third party websites and their platforms.

To Analyse, Aggregate And Report

  • We may use the personal data we collect about you and other users of our websites and services (whether obtained directly or from third parties) to produce aggregated and anonymised analytics and reports, which we may share publicly or with third parties.

How we share your information

SiteSmart Technology does not sell users personal data to external parties for marketing or other purposes not related to the performance of your duties.

There will be times when we need to share your personal data with third parties. We will only disclose your personal data to:

  • Other companies in the SiteSmart Technology group of companies
  • Companies or Projects you allocate yourself to within the SiteSmart Technology platform
  • Third party service providers and partners who assist and enable us to use the personal data to, for example, support delivery of or provide functionality on the website or services, or to market or promote our products and services to you.
  • Regulators, law enforcement bodies, government agencies, courts or other third parties where we think it’s necessary to comply with applicable laws or regulations, or to exercise, establish or defend our legal rights. Where possible and appropriate, we will notify you of this type of disclosure

SiteSmart Technology will take reasonable steps to ensure that employees and third-party suppliers abide by our Privacy Policy and practices so that we do not breach users’ privacy.

How we share your information

International Data Transfers

All our hosting and servers are currently located in Sydney, Australia and hosted with Amazon Web Services (AWS).

We are not likely to disclose your personal data overseas, except as permitted by the Privacy Act, unless we otherwise advise you in writing.

Security of Personal Data

We are committed to ensuring users personal data is secure.

In order to prevent unauthorised access or disclosure we make reasonable efforts to provide a level of security appropriate to the risk associated with the processing of Personal Data.

We maintain organizational, technical and administrative measures designed to protect Personal Data covered by this Privacy Policy against unauthorized access, destruction, loss, alteration or misuse.

Your Personal Data is only accessed by a limited number of personnel who need access to the information to perform their duties. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

If your account is deactivated or disabled, some of your information and the content you have provided will remain in order to allow users to make full use of the SiteSmart Technology products and services.

If you have reason to believe that your interaction with us is no longer secure (e.g., you feel that the security of your account has been compromised), please contact us immediately via support@sitesmart.tech.

Payments

We may provide paid products and/or services within the SiteSmart Technology platform. In that case, we use a third-party service for payment processing (e.g. payment processors) called Stripe.

We will not store or collect your payment card details. That information is provided directly to Our third-party payment processors whose use of Your personal information is governed by their Privacy Policy.

When You use Our Service to pay a product and/or service via bank transfer, We may ask You to provide information to facilitate this transaction and to verify Your identity.

If you have any queries or concerns about our privacy policy or the way we handle your personal information, or if you wish to make a complaint about a breach of the Privacy Act, the APPs or a privacy code that applies to us, please contact us in writing at support@sitesmart.tech

We will take reasonable steps to investigate any complaint and work with you to resolve the issue.
